In support of this business, KIS is seeking to recruit a Receptionist/Office Assistant to join the New York- based team. 

Duties and Responsibilities

The Receptionist/Office Assistant is responsible for the following duties and responsibilities. They include, but are not limited to

  • Greet clients, visitors, and guests; directs or escorts visitors to the appropriate location.
  • Maintain reception lobby area. Cleanliness and beverage stock for visitors
  • Maintain conference room bookings and meetings; Order meeting lunches; Set up and clean up after each meeting. Ensure all conference rooms are stocked with beverages and snacks daily.
  • Receive mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Manage inventory of office; pantry supplies and order as required.
  • Stock the pantry with daily essentials. Refrigerated beverages, Coffee station, snacks.
  • Organize maintenance companies to keep the office clean and safe. Ensure all rental equipment is in good working order.
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and maintaining weekly/monthly meeting materials.
  • Perform administrative and clerical support tasks.
  • Performs other duties, as assigned.

  • High school diploma or equivalent required.
  • 2+ years of administrative experience in a professional environment


  • Ability to work in a fast-paced environment.
  • Ability to learn quickly and take on new responsibilities.
  • Strong verbal and written communication skills.
  • Strong organizational skills; self-motivated and team oriented.
  • Solid proficiency with Excel, Word, and PowerPoint.
  • Notary a plus, but not required.

Physical Demands

  • Normal office working environment.
  • Occasional evening and weekend hours to meet deadlines.
  • Ability to sit for extended periods of time.
  • Ability to type/perform data entry.
  • Ability to read from a computer screen and paper reports.
  • Express ideas and otherwise communicate with the spoken word.
  • Full time, normal working day, 8:30 am – 5:30 pm
